Printing a Label Logging Date Sent in Project List Publicity Assistant 2000 allows you to send one media contact to multiple lists, print a label, and mark the date you sent out materials to this contact within your project list. This feature allows you to quickly print a label while keeping accurate records of materials and books being sent. To use this method, all project lists must be closed. The easiest way to close multiple projects is to use the Close button on the toolbar, which closes all your work and resets the Main Media window. You must now select the contact you wish to send to multiple project lists. To do this, go to the Main Media Tab of the Publicity Assistant 2000 main window. Find the contact you wish to send by using the Search button on your tool bar or performing a Quick Search. Next, click once on the contacts entry in the Main Media Data. An arrow will appear at the very left of the contacts record, indicating that it is the currently selected record. Next, press the SEND button located on your toolbar. The following screen will appear: In the window header, the contacts name appears. At this point, simply select the lists to which this contact will be sent by clicking to the left of the list names. You may also indicate whether this contact receives a release, and whether you wish to include any selection codes, for example "R" for request or "G" for galley. You may also print a label or send this record to a UPS file, and in the process you may mark the contact within your project list as being mailed today. To do this, check the "mark as mailed today" box and the "create label" box and press the send button. A print preview screen will appear. To print the label, press the print icon on the print tool bar. To send the contact to the project lists without printing a label, press the Send button to send the contact to the selected lists, or press Cancel to cancel the operation. TIP: As you scroll through the list of projects, the title of the book and the author will appear in the left-hand corner of your screen. This allows you to easily identify your projects.
