Moving Names Between Lists

Publicity Assistant 2000 allows you to move contacts between projects. This is useful if you are creating a project that will be substantially similar to an existing list.

First, open the project to which you wish to add the contacts (i.e. the new list). Next, open the list containing the contacts (i.e. the original list). You now have the option of moving a single contact, a group of contacts, or all the contacts.

Moving a Single Contact

To move a single contact, select that person’s name in the original project. Next, press the Send button in the Toolbar. You will then be prompted with at least three choices. Double-click on the choice that moves the contact from the Original List to the New List. Alternatively, you may drag the name from the original list to the new list.

If you are dragging a contact to a new Review List, you will be prompted to enter codes. The following window will appear. Here, you may enter selection codes. You may also tag the reviewer as a recipient of only press releases, or of bound galleys, by clicking on the appropriate boxes. Alternatively, you may elect not to add any codes or tags. Either way, press the Send button on the window to send the reviewer to your list. For more information, see Selection Codes.

Moving all Contacts from one Project to Another

To move a group of contacts, first select the Reviewers, Contacts, or Browse tab (depending on whether you are in a Review List, Promotional Tour, or Special Project) from the original project. Next, drag the column header bar to the target project. All the names from the original list will be added to the target list.

Moving a Group of Contacts from one Project to Another

You may elect to move only part of a list from one Project to another. To do this, select the original list by clicking on it. Next, press the Select button in the Toolbar. You will be prompted to keep any current selections, reverse the current selections, or to clear any current selections. Make your choice. Then, select or de-select whichever contacts you wish to send to the new list.

When you are ready, you may either press the Send button, or drag the selection over to the new list by dragging the column header bar in the original over to the target list.
